m3 Covid-19 Response
m3 mechanical consultants inc. is taking numerous precautions to maintain the health and safety of our employees, colleagues, clients, and the public during this COVID-19 epidemic. This notice is intended to inform you on the procedures and policies that we have adopted to ensure occupational health and safety is maintained during operation of our company and to minimize disruption to our services. The following guidelines have been implemented based on the BC Health Authority and WorkSafe BC.
Social Distancing
Our staff are minimizing non-essential face-to-face meetings by using web-based video conferencing, emails, and phones where possible. Where in-person meetings are mandatory, we are limiting participation to no more than 6 individuals (or per local guidance), encouraging social distancing, and using digital collaboration tools.
Social Distancing Regulations Include:

External visitors to our office will only accepted with prior approval from management.

Employee workstations have been spaced a minimum of 2m apart and partitions / barriers separate workstations in close proximity.

Barriers have been provided in common areas: meeting room, lunch room, and main entrance.

Staff have staggered lunch breaks to reduce sizes of gatherings in common areas.

We have limited occupancy of common areas. 3 people maximum of lunch room and 2 maximum of the meeting room.

Signage has been posted to maintain 2m separation between individuals.
-
The building elevators have been limited to maximum 2 people.

Non-essential meetings will be held using video conferencing.

Masks are available for any interactions that occur where minimum separation is no possible.

We have suspended all non-essential business-related travel apart from mandatory site visits required by our regular engineering practice. During mandatory site visits, we will be following and adopting the procedures and policies of each construction site in addition to our social distancing guidelines.

Illness Policy
All staff must self-monitor for symptoms and report to their manager if they have concerns about possible COVID-19 exposure or possible symptoms.

Any staff members developing symptoms of COVID-19 at work must immediately perform hand hygiene, report to manager, avoid contact with staff and leave as soon as it is safe to do so. Symptomatic staff will be required to self-isolate for 14 days.

Employees may use their flex days for paid time for self- isolation.

All staff are required to isolate at home if:

They show signs of illness or symptoms of COVID-19.
-
They have been in contact with a person diagnosed with COVID-19.
-
They have traveled and are currently subject to a 14-day quarantine.

Hand Washing & Sanitizing
We all must do our part to prevent the spread of illness. We know that practicing, good hygiene is an essential part of preventing the spread of COVID-19. To protect yourself and others from getting sick, take the following precautions:
Flexible Working Regulations Include:

Wash station located in kitchen and hand sanitizer station at front entry.

Encourage frequent hand washing.
-
Wash your hands often for 20 seconds with soap and water (in additional to routine times such as after using the washroom, before eating).

Cough/sneeze into your elbow or tissue and throw away in designated garbage bins.
-
Avoid touching your eyes, nose, and mouth with your hands.
-
Encourage all staff and guests to use hand sanitizer upon entering the office.
-
Instead of a handshake, give a friendly wave.
-
Avoid touching surfaces people touch often.
Office Hand washing Stations:

Staff lunch room - Located in the room and is stocked with soap, water, and disposable paper towel.
-
Entry - Located at the office entrance and is complete with masks, gloves, and hand sanitizer.

Office Cleaning & Sanitation
We have implemented regular Sanitizing & Disinfection of employee workstations and all common areas, equipment, and surfaces. Procedures include:

Daily wipe down of each employee workstation and electronics with disinfectant.

Regular Cleaning of common areas, such as door handles, photocopier, kitchen handles, sink cleaned with disinfectant. The Property Management has enhanced cleaning protocol in place for common building areas.

After-use equipment cleaning - All staff will be required to disinfect equipment after use. Spray bottles will be located at photocopier, break room kitchen, and mid office areas.
Procedure:

Cleaning - If surface is dirty, clean with soap and water prior to disinfection.

Disinfection - Wear gloves, spray 70% Isopropyl alcohol on paper towel, wipe pre-cleaned surface down and let dry. Dispose of paper towel.
Cleaning Schedule:

Computers & Workstations - Clean and disinfect at end of each work day.

Common Areas, Sinks, Door Handles - Clean and disinfect twice per day.

Photo copier & Printing Equipment - Clean and disinfect equipment after-use.

Flexible Working Conditions
We are permitting our staff to work remotely on a voluntary basis (or per local guidance) to increase social distancing within the office space. All employees are fully capable to work remotely if required and have access to all critical software, company resources, and collaborative tools.

All workstations have the capability to be linked into our network remotely.

Staff have been given the flexibility to work remotely.

Continued Updates
M3 mechanical continues to assess the situation and identify impacts to employees, clients, and our business operations. As the situation develops locally and the risk level changes, we will quickly act to implement additional protocols and provide those details.
